Phirima Lodge ("we", "us", "our"), owned by Cape Gannet (Pty) Ltd, is committed to protecting the privacy and personal information of guests, enquirers, and visitors to this website. This policy explains how we collect, use, store, share, and safeguard personal information in accordance with the Protection of Personal Information Act, 4 of 2013 ("POPIA").

  • Identity information: full name, title, date of birth (where required for check-in).
  • Contact information: email address, telephone number, postal address, country of residence.
  • Reservation information: arrival/departure dates, guest numbers, dietary needs, special requests.
  • Identification documents: passport or ID number where required by reserve access regulations.
  • Payment information: handled by third-party payment processors; we do not store full card data.
  • Website usage: IP address, browser type, pages viewed, referring source (via cookies and analytics).

4. Lawful Basis & Purpose of Processing

We process personal information for the following purposes:

  • To respond to enquiries and provide quotations.
  • To confirm, manage, and host your stay at the lodge.
  • To comply with legal, regulatory, and reserve access obligations.
  • To process payments and issue invoices.
  • To improve our website, services, and guest experience.
  • For direct marketing - only where you have opted in and where you may opt out at any time.

5. Sharing of Personal Information

We may share personal information with: the Black Rhino Game Reserve and Pilanesberg National Park access control; trusted service providers (payment processors, email hosting, IT); regulators or law enforcement where legally required. We do not sell personal information to third parties.

6. Cross-Border Transfers

Some service providers (e.g. email or analytics) may process information outside South Africa. Where this occurs, we take reasonable steps to ensure the recipient is bound by laws or contracts that provide protection substantially similar to POPIA.

7. Retention

We retain personal information only for as long as necessary to fulfil the purposes described above or as required by South African law (e.g. tax records for five years under the Tax Administration Act).

8. Security

We apply appropriate technical and organisational measures to safeguard personal information against loss, damage, unauthorised access, or unlawful processing. No method of transmission over the internet is fully secure, however, and you share information at your own risk.

9. Your Rights Under POPIA

You have the right to:

  • Request access to the personal information we hold about you.
  • Request correction or deletion of inaccurate or outdated information.
  • Object to processing, including for direct marketing.
  • Withdraw consent at any time, without affecting prior lawful processing.
  • Lodge a complaint with the Information Regulator (South Africa) - inforeg@justice.gov.za.
